It’s not that others are taking advantage of you; they simply can’t know all the pressures you’re up against, just as it’s unreasonable for you to know all the pressures they face. This is why it’s so important to communicate your constraints clearly and learn to say no to things that, given your workload, are not the best use of your time and resources. Saying yes to everything can—and will—lead to burnout and failure.
Prioritization and focused effort are key to moving towards your goals. Inspired by Greg McKeown’s book, Essentialism, I often think of a visual that helps me stay on track:
Imagine a circle that represents you. On the left, where you’re unprioritized, you’re pulled in all directions by small, nagging forces. As an engineer by training, I like to think of this in terms of net force: when all these small forces pull you in different directions, they cancel each other out, and you end up stuck, unable to move. On the right, with a single, focused force, there’s a clear direction, and you move forward. This illustrates how prioritization helps channel your energy towards what truly matters, enabling real progress.

As a product manager, I’ve realized the importance of setting boundaries. Without them, your calendar can quickly fill with meetings, leaving little time for individual work. Constant context switching hinders extended focus sessions, making it nearly impossible to enter a productive flow state. In a cross-functional role, each department focuses on its own goals, highlighting the need for specialization. This specialization means that different teams have different priorities and objectives, and effective collaboration is necessary to achieve overall success. It’s unreasonable to expect others to infer your workload. Failing to protect your time can lead to burnout, creating a cycle of feeling overwhelmed, demotivated, and exhausted.
Here are some actions that have helped me set healthier boundaries:
Set Time in Your Calendar Aside: Block out regular, specific times for focused work. Add ad-hoc time when you have unexpected free periods, such as canceled meetings. This ensures dedicated periods free from distractions, allowing concentration on high-priority tasks.
Communicate Your Challenges: Discuss your workload and challenges openly with your team and supervisors. Transparency fosters understanding and support. Your manager can help reprioritize and manage work across resources if needed to ensure successful delivery.
Establish Clear Meeting Policies: Define and communicate your availability for meetings. Limit the number of meetings you attend and set specific time limits to ensure productivity. This means saying no and providing feedback to organizers of consistently low-value meetings.
Use Technology Wisely: Utilize productivity tools and apps to manage your time and tasks efficiently. Tools like time-tracking apps, project management software, and communication platforms can streamline your workflow. By considering your tasks in terms of workflows, you can identify bottlenecks and time-intensive aspects, and streamline them through automation or delegation.

Protecting your time extends beyond work and is equally important in your personal life. Reject the idea that you can fit everything into your schedule. Prioritizing requires deliberate decisions and trade-offs. Start by establishing a clear boundary between work and personal life. Adhere to your working hours and communicate them effectively.
Here are some actions that have helped me achieve personal goals while working:
Schedule Personal Time in Your Calendar: Just as you schedule work tasks, schedule personal activities and downtime for exercise, hobbies, family, and relaxation. This helps hold you accountable for new hobbies or routines.
Set and Stick to Work Hours: Define your working hours and stick to them. Avoid checking emails or working outside these hours to maintain a healthy work-life balance. Most workplace communication tools have settings to disable notifications outside of certain hours—use them.
Practice Self-Care: Make self-care a priority, including sleep, healthy eating, exercise, and time to recharge. Consistent recovery is essential for a sustainable lifestyle.
Set Personal Goals: Establish personal goals and break them into manageable steps. This helps you focus on what’s important and track progress. By holding yourself accountable to this set of goals, you can adjust the balance between professional and personal life as needed.
Digital Detox: Set aside daily time to disconnect from digital devices. This helps you be more present and engaged with personal activities and relationships, especially in the evenings for a clear separation of priorities.

Starting to prioritize more effectively can be challenging because it requires a shift from our ingrained habits and routines. We often experience inertia, clinging to familiar ways of doing things. Adopting new habits means thinking differently and expending more energy initially, but this effort signifies that you are on the path to meaningful change.
Overcoming the initial resistance is crucial. Here are some strategies to help you develop new habits for better prioritization:
Set Clear Goals: Define specific goals for your new habits. Clear goals provide direction and motivation, making it easier to stay committed and track progress.
Use Triggers: Create triggers or cues to remind you to practice new habits. Link your new habit of prioritizing tasks with a daily activity like your morning coffee. This habit-stacking approach, recommended by James Clear in Atomic Habits, takes advantage of existing routines with minimal disruption.
Track Your Progress: Keep a journal or use an app to track your progress. Honestly monitoring efforts helps you stay motivated, identify effective patterns, and adjust your approach as needed.
Be Patient: Understand that developing new habits takes time. Be patient and recognize setbacks as a natural part of the process. Don’t beat yourself up if you miss a day—remind yourself that we all have ups and downs. A helpful rule that keeps me on track is to never miss two in a row of anything.
Adopting an active approach to situations gives you more control over your time. This proactive mindset allows you to manage your workload effectively, ensuring meaningful progress rather than just treading water.

Execution is everything. By controlling your time, you can focus on areas where you make the most significant impact, leveraging your strengths to produce substantial value. This prevents spreading yourself too thin in both professional and personal life.
Being intentional with your time improves productivity and enhances your ability to prioritize. Developing this skill helps you achieve more with less effort, avoiding inefficiency and burnout.
Focused execution pays dividends by enabling deliberate choices about where to invest your time and energy. This mindful approach ensures progress toward your most important goals and avoids the trap of being busy without being productive.
